Email Orders

What information to email us
When you email us your order please make sure that you include the following information:

  • Your delivery address, postal address (if different), email address and phone number.
  • For each product, the product code, the quantity you want, and product description (for cross checking against product code to minimise mistakes).
  • Your means of payment (we take cash at the time of delivery, cheques, VISA, Switch, Mastercard and Delta cards).

As email can sometimes fail we always confirm receipt of email orders with an email reply. If you do not receive a confirmation email please contact us by phone to ensure that your order is processed.

Email etiquette :-)
Please do not be concerned about ensuring that your email to us is perfectly formatted. As long as each products information is entered on its own line with the code, quantity and description separated with a space, comma or other punctuation mark that is fine. We would also be most grateful if you could try to avoid attaching your order in a separate file or sending it as rich text format or HTML format as these can be difficult to read. If we are sent an email that we can not read or access we will either phone or email back for clarification.

Security
All emails are insecure due to the nature of the internet. On no account should you email us details of any credit cards, bank accounts, or any information you would not want third parties to know e.g., unlisted phone numbers and addresses, as these can be read by anyone on the internet with sufficient knowledge. If you wish to order by email we can keep your payment details and any other information you wish to keep confidential on our files. You will have to initially phone, post or fax this information to us. For more information about payment please go to our home delivery and box scheme payment page. If you are concerned about third parties knowing the contents of your order please phone, post or fax your order to us. We currently do not offer secure / encrypted internet services, though we will review this if there is sufficient demand.

Attachments vs. body text
If you order by email we would much prefer it if you would put your order in the body of the email, rather than as an attached file / document. While we have an up to date computer system there are many more file types than we can possibly read. We often get sent orders as attachments in file formats that we can not open. In addition, attached files are now the most common means by which virus's are spread. While we have anti virus software we can still catch new and unknown viruses which could destroy our computer system. If you prefer to type your order in a program other than your email editor most programs will allow you to cut and paste the information from your program to the body of the email.

Text format vs. RTF and HTML
Also we prefer emails in (plain) text format, rather than rich text format (RTF) or HTML (hypertext markup language). While email formats other than text are now common place and we are able to read them, there are considerable differences in the abilities of different email programs to both create and read RTF and HTML files. Sometimes an RTF or HTML email created in one email program can be very hard to read in another. All email programs that can send RTF or HTML format have the ability to send email in plain text format.
